<p><strong>A secure and private connection to protect you and your customers.</strong></p>



<p>Security certificates are small data files that digitally bind an encryption key to an organization&#8217;s details. When installed on a web server, a certificate creates a secure, encrypted tunnel between two points, whether that&#8217;s connections to databases, other services, or most commonly, a visitor&#8217;s web browser. A security certificate used to activate the padlock icon and the HTTPS protocol, enabling secure connections from a web server to a browser. These days, many browsers only show an icon or warning if there is a problem. Several types of certificates are available, each offering different levels of validation and security.</p>

<p><strong>Authentication:</strong> A certificate provides a level of authentication, confirming that your website is legitimate and not a malicious site attempting to collect information. While a TLS/SSL can confirm authentication, it does not prevent malicious activity. The user must still be vigilant, ensuring they&#8217;ve reached walmart.com rather than walmartz.com.</p>



<p><strong>Trust:</strong> Browsers signal that a website has a valid certificate installed via the padlock icon next to the URL. Users have come to expect and rely on this indicator as a baseline sign of safety.</p>

Submissions are stored and processed on JotForm&#8217;s own <a href="https://www.jotform.com/features/security/" target="_blank" rel="noreferrer noopener">secure infrastructure</a>, which includes HTTPS encryption in transit, GDPR compliance tools, HIPAA-compliant plans for healthcare-related data, and built-in spam protection. You simply embed the form on your WordPress page using a shortcode or their official plugin. It&#8217;s clean, simple, and secure.</p>



<p>JotForm also offers a generous free tier with paid plans available as your needs grow. <p>If your organization already uses Microsoft 365, you may have a <a href="https://support.microsoft.com/en-gb/office/security-and-privacy-in-microsoft-forms-7e57f9ba-4aeb-4b1b-9e21-b75318532cd9" target="_blank" rel="noreferrer noopener">secure form solution</a> sitting right in your existing toolkit in <strong><a href="https://www.microsoft.com/en-us/microsoft-365/online-surveys-polls-quizzes" target="_blank" rel="noreferrer noopener">Microsoft Forms</a></strong>.</p>



<p>Microsoft Forms is included with most Microsoft 365 business and enterprise subscriptions. Data collected through Microsoft Forms is stored within your organization&#8217;s Microsoft 365 tenant, subject to the same compliance and security controls as your other Microsoft data (including data residency, retention policies, and admin oversight). For organizations already operating within the Microsoft ecosystem, this can be an excellent fit.</p>



<p>The good news for WordPress users: Microsoft Forms can be embedded directly on a WordPress page using an iframe embed code generated from the form itself. It won&#8217;t win any design awards, but it&#8217;s functional, familiar to your staff, and backed by enterprise-grade infrastructure you&#8217;re likely already paying for.</p>

<p>What is PII? </p>



<p>If you&#8217;re unsure <a href="https://coursevector.com/sensitive-information-guide-protecting-pii/">what is considered PII</a> and what is safe to collect and store unencrypted, the short answer is: it varies. You&#8217;re subject to the rules of the place the user lives, not your state. So, it&#8217;s important to understand basic PII rules for your country or the country in which you&#8217;re doing business.</p>

Data is stored on Typeform&#8217;s servers (not your WordPress site), with <a href="https://help.typeform.com/hc/en-us/articles/360029259552-Security-at-Typeform" target="_blank" rel="noreferrer noopener">HTTPS encryption and GDPR tools built in</a>. The conversational form style can improve completion rates. Embeds easily in WordPress.</p>



<p><strong><a href="https://www.cognitoforms.com/" target="_blank" rel="noreferrer noopener">Cognito Forms</a></strong> — <a href="https://www.cognitoforms.com/product/security-compliance" target="_blank" rel="noreferrer noopener">A solid mid-tier option with strong encryption features</a>, including support for encrypted entries. HIPAA-compliant plans are available. Embeds in WordPress via iframe or their plugin.</p>



<p><a href="https://tally.so/" target="_blank" rel="noreferrer noopener"><strong>Tally</strong></a> — A newer, lightweight option based in Belgium that&#8217;s gaining traction. Better suited for larger organizations with more complex data handling requirements.</p>

<h2 class="wp-block-heading">What We Do NOT Recommend: Gravity Forms (Without Additional Safeguards)</h2>



<p>When we build sites, we use Gravity Forms for the contact form. It is one of the most widely used WordPress form plugins.</p>



<p>By default, Gravity Forms stores all form submissions directly in your WordPress database, <strong>unencrypted</strong>. That means every contact form submission, every application, every message someone sends through your site lives in plaintext in your database. If your WordPress site is ever compromised, whether through a plugin vulnerability, a weak password, a misconfigured server, or any number of common attack vectors, that data is exposed.</p>



<p>For forms collecting anything beyond the most basic, low-sensitivity information, this is not an acceptable risk. There are third-party add-ons that can add encryption to Gravity Forms, but this introduces additional complexity, cost, and maintenance overhead that most site owners aren&#8217;t equipped to manage reliably.</p>



<p>Our recommendation is to avoid Gravity Forms for any form that collects personal, financial, health-related, or otherwise sensitive information. The risk simply isn&#8217;t worth it when better alternatives exist. It&#8217;s safer to keep your sensitive data stored outside of your WordPress installation.</p>

<h2 class="wp-block-heading">The Bottom Line</h2>



<p>When evaluating a form solution for your WordPress site, the key question to ask is: <strong>where does the data go, and how is it protected?</strong></p>



<p>Hosted platforms like JotForm, Microsoft Forms, Typeform, and Cognito Forms keep data off your WordPress server entirely, reducing your attack surface and putting data security in the hands of vendors whose core business is exactly that. Solutions that store data directly in your WordPress database put the burden of security squarely on you, and that&#8217;s a burden most sites aren&#8217;t set up to carry.</p>



<p>When in doubt, reach out to your web team, IT provider, and/or solicitor before collecting sensitive data through any form. A few minutes of due diligence upfront can save significant headaches down the road.</p>

<p>If you would not post it publicly, it should not go into an AI tool.</p>

<p>First and foremost, you should follow your employer&#8217;s AI policies. If they don&#8217;t want you using AI, you shouldn&#8217;t be doing it. </p>



<p>AI can still be a powerful tool when used correctly. The key is setting clear boundaries.</p>



<p><strong>1. Remove Sensitive Details</strong></p>



<p>Before using AI, strip out names, numbers, and identifying information.</p>



<p><strong>2. Use Generalized Prompts</strong></p>



<p>Instead of pasting real data, describe the situation: </p>

Please note that annual credits <strong>do not accrue</strong>; any unused balance at the end of the year will expire.</p>



<p><strong>Monthly Plans: </strong>Credits are added to your account monthly. We typically allow funds to accrue for up to <strong>three months</strong>. While monthly clients often have a dedicated representative, it remains the client’s responsibility to utilize funds before they expire.</p>

<h2 class="wp-block-heading">The QR Code Box Scam: Why That Random Package Could Be a Cyber Trap</h2>



<p>QR codes are everywhere, on menus, parking meters, mailers, and even packages. But scammers have started using them in a new and surprisingly effective scheme: fake delivery and “mystery package” scams.</p>



<p>If you receive a package you didn’t order, especially one with missing or vague sender information, stop before you scan anything. It could be a setup.</p>



<h3 class="wp-block-heading">How the QR Code Package Scam Works</h3>



<p>According to the Internet <a href="https://www.ic3.gov/PSA/2025/PSA250731" target="_blank" rel="noreferrer noopener">Crime Complaint Center (IC3)</a>, fraudsters are shipping inexpensive goods or even just stickers to random recipients. Inside or attached to the box is a QR code.</p>



<p>The message usually implies:</p>



<ul class="wp-block-list">
<li>“Scan to see who sent this.”</li>



<li>“Scan to confirm delivery.”</li>



<li>“Scan to claim your prize.”</li>



<li>“Scan for return instructions.”</li>
</ul>



<p>The goal is clear &#8211; get you to scan.</p>



<p>Once scanned, that QR code can redirect you to:</p>



<ul class="wp-block-list">
<li>A phishing page that looks legitimate</li>



<li>A fake login portal to steal credentials</li>



<li>A malicious download</li>



<li>A site designed to harvest personal data</li>
</ul>



<p>This tactic is sometimes called <strong>“quishing”</strong>, QR code phishing.</p>



<h3 class="wp-block-heading">Why Scammers Send Real Packages</h3>



<p>You might wonder: why go through the trouble of mailing something?</p>



<p>Because a physical package lowers your guard.</p>



<p>When something arrives at your door, it feels legitimate. That physical interaction creates trust. Scammers know that once curiosity kicks in, people are more likely to scan without thinking.</p>



<p>In some cases, this may also be connected to what’s known as a <strong>brushing scheme</strong>, where scammers send unsolicited goods to generate fake verified reviews tied to your name or address.</p>



<p>Even if the item seems harmless, the QR code is the real payload.</p>



<h3 class="wp-block-heading">What Happens When You Scan a Malicious QR Code?</h3>



<p>Unlike clicking a suspicious email link, QR codes bypass many of the warning signals people are trained to look for.</p>



<p>Scammers use malicious QR codes to capture login credentials, install malware on your device, steal stored browser information, redirect you to payment pages, and collect personal data for identity theft.</p>



<p>Because phones often auto-open links after scanning, the window for caution is small.</p>



<h3 class="wp-block-heading">Red Flags to Watch For</h3>



<p>Be cautious if you notice:</p>



<ul class="wp-block-list">
<li>A package you did not order</li>



<li>No clear sender information</li>



<li>A vague message asking you to scan</li>



<li>Urgent or emotional language</li>



<li>A sticker covering original labeling</li>



<li>A request for login credentials or payment after scanning</li>

<h2 class="wp-block-heading">What You Should Do Instead</h2>



<p>If you receive a suspicious package, first thing&#8217;s first. <strong>Do not scan the QR code</strong>. Do not enter any personal information. Do not log in to any account from the linked page.</p>



<p>Report suspicious activity to the <a href="https://www.ic3.gov/" target="_blank" rel="noreferrer noopener">Internet Crime Complaint Center (IC3)</a>. Notify your local police department if appropriate and alert family members, coworkers, or residents if you work in a municipal or school setting.</p>



<p>If you already scanned, change passwords immediately and enable multi-factor authentication if  possible. For a time after the scan, you will need to  monitor financial accounts for suspicious activity. <p>This is a question we hear a lot at CourseVector, especially from municipal clients, service businesses, and organizations that want to be more accessible without accidentally hurting SEO or creating compliance problems.</p>



<p>There are a ton of translation options available for your WordPress website. But which one you choose matters a lot. Let’s walk through what actually matters before you install anything.</p>

<p>The real question isn’t “Do I need a translation plugin?” It’s: <strong>Do I need automatic translation… or real multilingual pages?</strong> Those are two very different goals.</p>



<h2 class="wp-block-heading">Option 1: Automatic translation (quick and low effort)</h2>



<p>A common tool for this is <strong><a href="https://gtranslate.io/" target="_blank" rel="noreferrer noopener">GTranslate</a></strong>. This plugin produces live, on-the-fly visitor-side translation.</p>



<p>This approach works like this:</p>



<ul class="wp-block-list">
<li>Your site stays in one language</li>



<li>The plugin dynamically translates the content when a visitor switches languages</li>



<li>You do not create separate pages for each language</li>
</ul>



<p>People might choose GTranslate because it&#8217;s fast to launch with minimal setup. The cost for this plugin is low and there is no content duplication or separate page management.</p>



<h3 class="wp-block-heading">The important limitation (especially for SEO)</h3>



<p>With most automatic-translation setups:</p>



<ul class="wp-block-list">
<li>Google does <strong>not</strong> treat each language as its own fully optimized page</li>



<li>You usually are <strong>not ranking in other languages</strong></li>



<li>Translations are machine-generated and not reviewed</li>
</ul>



<p>This may not be a problem if you&#8217;re a PA municipality that is not trying to rank your website in another language. This option is also good for municipalities, commercial clients, and organizations whose visitors need quick readability, whereby removing language friction allows access to important information as long as SEO is not the main goal for translation.</p>



<h2 class="wp-block-heading">Option 2: True multilingual content (SEO-ready)</h2>



<p>If you actually want:</p>



<ul class="wp-block-list">
<li>separate language versions of pages</li>



<li>proper indexing by search engines</li>



<li>full control over translated text</li>
</ul>



<p>then you are looking at a multilingual system such as <strong><a href="https://wpml.org/" target="_blank" rel="noreferrer noopener">OnTheGoSystems’s WPML plugin</a></strong>. We&#8217;ve used the WPML tool on several of our clients&#8217; sites.</p>



<p>The WPML plugin creates real translated pages with unique URLs for each page. WPML <em>does</em> offer AI / machine translation now, but this should not be thought of as an &#8220;automatic translation&#8221;. It automatically generates the translation inside your editor, not for the visitor. This means with WPML the translation is created for you, you review / edit it, and then you publish the page.</p>



<h3 class="wp-block-heading">Why this matters for SEO</h3>



<p>With a full multilingual setup:</p>



<ul class="wp-block-list">
<li>each language version can be indexed</li>



<li>proper language signals (hreflang, page structure, URLs) are created</li>



<li>translations can be professionally written instead of machine-generated</li>
</ul>



<p>This is the only realistic path if your goal is to show up in search results for users who search in another language.</p>



<p>One complaint we receive about this plugin is that our clients don&#8217;t understand their pricing. WPML uses credits for translation. Each package comes with credits. There are also pay-as-you-go options. Because you&#8217;re translating and then publishing a page, you&#8217;re paying for the translation, with your purchased credits, one time. You are not paying to translate a page every time a visitor wishes to see it in the new language. If WPML has already translated a sentence before, it can reuse that translation on other pages. This means you don’t spend credits translating the same text again.</p>

<h2 class="wp-block-heading">The part most sites overlook: accessibility and accuracy</h2>



<p>For our government and compliance-focused clients, this is an important nuance.</p>



<p>Automatic translation does <strong>not</strong> guarantee accessibility, does <strong>not</strong> guarantee plain-language accuracy, can misinterpret legal, policy, or public-service content.</p>



<p>If the content involves public notices, legal language, instructions for residents, or emergency information that must be translated machine translation should be treated as a convenience tool and not an authoritative version.</p>

<p>This is especially important given your broader accessibility and risk-management goals that we already build into sites. It&#8217;s always a good idea to check with your solicitor if you have questions.</p>

<p>For business owners, it sounds simple and risk-free: your site is moved for you, at no cost, with no downtime.</p>



<p>But from an SEO perspective, “free” migrations are often the most dangerous kind of migration.</p>



<p>Not because the move itself is bad, but because most free migrations focus on copying files and databases, not preserving the technical signals that protect search visibility.</p>



<p>Here are the most common SEO failures we see during free website migrations and why they matter.</p>

<p>A proper SEO-safe migration preserves:</p>

<li>redirects</li>



<li>canonical signals</li>



<li>internal link structure</li>



<li>crawl and index behavior</li>
</ul>



<p>A free migration typically only guarantees:</p>



<ul class="wp-block-list">
<li>the site loads</li>



<li>the pages display</li>



<li>the database imports correctly</li>
</ul>



<p>From an SEO standpoint, those are very different outcomes. Your site can appear to be working perfectly while search engines are quietly losing the ability to associate your new site with your old rankings.</p>

<h2 class="wp-block-heading">The biggest risk: URL changes without a redirect plan</h2>



<p>One of the most common outcomes of a free migration is a change in URL structure.</p>



<p>This happens most often when clients change their content management system (CMS), consolidate content, categories or folders are rebuilt automatically, or blog and resource paths are regenerated. When URLs change without a documented redirect map, search engines treat those pages as new content.</p>



<p>That means:</p>



<ul class="wp-block-list">
<li>previous ranking history is not automatically transferred</li>



<li>external links point to pages that no longer exist</li>



<li>long-tail visibility is often permanently lost</li>
</ul>



<p>Redirects are frequently created only for obvious pages (such as the homepage), leaving hundreds of deeper pages unprotected.</p>



<p>From an SEO standpoint, this is can significantly damage a site&#8217;s ranking.</p>

<h2 class="wp-block-heading">Redirects are often incomplete, automated, or chained</h2>

<li>auto-generated</li>

<p>This creates incorrect destination pages, <a href="https://help.ahrefs.com/en/articles/79340-what-are-redirect-chains" target="_blank" rel="noreferrer noopener">redirect chains</a>, or broad redirects to category pages instead of intent-matched pages.</p>

<p>Search engines rely on clean, one-to-one permanent redirects to transfer ranking signals correctly. When redirects are vague or multi-step, authority transfer weakens and re-indexing slows. This problem is especially damaging for service and location-based websites where individual pages often carry very specific search intent.</p>

<h2 class="wp-block-heading">Internal links are rarely updated to the new URLs</h2>



<p>Another overlooked SEO issue with free migrations is internal linking. Even when redirects are added, internal links often still point to the old URLs.</p>



<p>From an SEO standpoint, this creates two problems:</p>

<li>search engines waste crawl budget following unnecessary redirects</li>



<li>the new URL structure takes longer to be recognized as authoritative</li>

<p>Redirects should protect users and external links, not compensate for an outdated internal site structure. A proper migration updates the internal links to point directly to the new URLs. Free migrations almost never include this step.</p>

<h2 class="wp-block-heading">Canonical tags and sitemaps are frequently left pointing to the old site</h2>



<p>Canonical tags and XML sitemaps tell search engines which URLs should be indexed.</p>



<p>During free migrations, it is very common for:</p>

<li><a href="https://developers.google.com/search/docs/crawling-indexing/canonicalization" target="_blank" rel="noreferrer noopener">canonical tags</a> to still reference the old URLs</li>



<li>sitemaps to include outdated paths</li>



<li>or both</li>

<p>When this happens, search engines may continue to treat the old URLs as the preferred versions even when they redirect. This can significantly delay the indexing of the new pages and suppress rankings during the transition.</p>



<p>After any migration, the sitemap should be regenerated and resubmitted in Google Search Console so crawl and indexing problems surface quickly.</p>

<h2 class="wp-block-heading">Free migrations do not benchmark your SEO before the move</h2>



<p>Another critical gap is the lack of a pre-migration baseline.</p>

<p>Free migrations almost never include a crawl of the existing site, a list of ranking or high-value pages, or any form of SEO validation checklist.</p>

<p>When traffic drops after launch, there is no reliable reference point to identify what changed or which pages were most affected. This turns SEO recovery into guesswork.</p>

<h2 class="wp-block-heading">Multiple old pages are often merged without intent matching</h2>



<p>While a free migration may not include content consolidation, many clients see a migration as a great time to restructure content. It is common to see multiple older service pages or multiple legacy location pages collapsed into a single new page without individual redirects.</p>



<p>From an SEO standpoint, this removes relevance signals tied to specific queries and often causes long-tail rankings to disappear.</p>



<p>Page consolidation can be effective only when:</p>



<ul class="wp-block-list">
<li>every old URL is redirected</li>



<li>and each redirect points to a page that genuinely satisfies the same search intent</li>
</ul>



<p>Free migrations rarely perform this level of mapping.</p>

<h2 class="wp-block-heading">The most dangerous part: SEO damage is rarely immediate</h2>



<p>One of the reasons free migrations are so misleading is that problems often appear slowly.</p>



<p>The site may look normal to visitors. It may generate leads for a while.  Basic functionality checks are all well and good up front. Ranking and indexing losses typically appear over several weeks as search engines process redirects, canonicals, and new URL structures.</p>



<p>By the time performance drops are noticed, the migration provider is no longer involved, and the repair work becomes more expensive than doing the migration properly in the first place.</p>

<p>We received this comment from a client recently, and it stuck with us. It&#8217;s not because it was flattering, but because it perfectly captured a reality we see every day. Most organizations don’t <em>want</em> to become website experts. They just want their website to work, stay secure, remain compliant, and not create problems they have to solve after hours (or for hours).</p>



<p>Yet many organizations still start down the DIY path, assuming it will save money or give them more control. What often gets overlooked is the true cost of managing a website when it becomes “just one more thing” on an already crowded to-do list.</p>

<p>On the surface, DIY website platforms promise simplicity. Drag-and-drop builders, templates, plugins, and auto-updates all sound manageable, until you’re the one responsible when something breaks.</p>



<p>Managing a website today involves far more than changing text or uploading a photo. Behind the scenes, there are ongoing responsibilities that don’t go away just because the site is live:</p>
